Obviously, the more we know about our travel companions, the better we can customize and improve their experience. As we plan your trip, we will ask you for personal information (some mandatory, some optional); in turn, we promise to protect this information and ensure that it remains confidential. We also promise never to sell your information to anyone.&nbsp;B&amp;R is committed to protecting personal information and supporting user rights in accordance with applicable privacy laws.<h2>What We Ask For &amp; Why</h2>You can purchase a trip or make a reservation by contacting our Travel Advisors, or by visiting our website. At that time, we will ask you to provide some basic information (such as your name, phone number and credit card number and expiration date) so that we can identify you, follow up with you and process your purchase. We may also require your gender and age for identification purposes. However, we may need more information than is required for a standard travel booking, as we strive to offer an unparalleled level of customized service. Below is a description of some of the extra information we may require:Dietary RequirementsWe understand that many people prefer or are required to follow certain diets. We try to accommodate these choices and needs whenever possible. To accomplish this, your dietary preferences must be recorded in your booking. This information is then transferred to your B&amp;R guides, who will in turn contact the various restaurants and hotels to ensure that your requirements can be met.Physical and Health DetailsWe need to obtain information about your age, gender, height and general health so that we can provide you with the appropriate equipment and ensure your personal health and safety.&nbsp; We may also request your vaccination status&nbsp;which may determine your access to services and experiences based on local law and&nbsp;inform the design of your trip.Flight and Passport InformationWe request your flight information in order to provide you with any necessary airport pick-up or drop-off services and/or to ensure that you will have adequate time to get to the airport for your flights home. For some trips, we request passport information because it is required by our local service providers (e.g. a hotel or a ship) or to facilitate your further transportation while on a B&amp;R trip.Personal PreferencesB&amp;R constantly strives to provide you with the highest level of personal service. Our Travel Advisors record any special requests or preferences that are specified at the time of your booking. This information is passed on to your guides and enables the guides to meet and exceed all of your expectations. Also, our guides may pass on information about special requests or preferences expressed by travellers while on a trip. We maintain a record of this information to ensure that on subsequent trips these personal preferences continue to be accommodated. We also keep a record of past trips you have taken with us, which allows us to understand the type of activities or trips you prefer and to determine what information (i.e. about new or revised trips) you might find interesting.Email CommunicationsB&amp;R sends regular email communications designed to engage and inspire travellers to dream about ‘where to next?’ – whether it's introducing new trips and regions, meeting our Experience Designers and Guides, or sharing new travel tips and tricks.&nbsp; You may be receiving these emails because you filled out a form on our website, travelled with us, or subscribed to our email newsletter. You can unsubscribe at any time using the "Unsubscribe" link at the bottom of every email.​<h2>Information Use</h2>Brochures: We use your address information and personal preference details to mail you select B&amp;R brochures. If at any point you wish to have your name removed from our mailing list, please contact us at privacy@butterfield.com or by phone at 1.800.678.1147. When we mail you a brochure, we send your address to an external company that processes the mailing on our behalf. We use contractual and other means to protect your information while our agents are processing it.Research: From time to time, B&amp;R will retain the assistance of external service organizations to help us understand our travellers and any trends in our industry. We may disclose some of your personal information to those companies solely for the purpose of conducting research and analysis on behalf of B&amp;R. They are architects, lawyers, musicians, athletes, art historians, teachers, students, chefs, writers… all taking a few months (or years!) from their careers to share their love of travel. To be considered for a position as a guide, applicants must be available for work and travel during our European season, which runs from May to October inclusive. If you are booked on a trip, it will also allow you to select your equipment choices, let our Travel Advisors know your arrival and departure details, and select your shoe and shirt size. Setting up a My B&R Account

That's not right. It might be in your junk or spam folder.What to do:<ul><li>Click “Resend verification email” on the login page.</li><li>Check your junk/spam folder.</li><li>If you’re using a work email address, your company’s IT team may need to release the email from quarantine.</li><li>You can also try using a personal email address (please contact us if you use a different address than the one we have on file).</li><li>If you're still having issues, please contact us for assistance.</li></ul>

I created a new account, but didn’t receive the verification email

It happens to the best of us! Here's what to do:<ul><li>Go to the My B&amp;R login page and click “Forgot password”.</li><li>If you don’t receive an email, and it’s not in your junk/spam folder, you likely don’t have an account and will need to create a new one.</li><li>If you're still unsure, please contact us and we’ll check for you.</li></ul>Note that we launched a new version of My B&amp;R in July 2024. If you haven't logged in since then, you'll need to create a new account.

I’m not sure if I have a My B&R account

This might mean you don’t have an account yet on our new platform.We rebuilt our platform in July 2024 to build a better system for our travellers. You should then be able to see your upcoming trip.</li><li>If you prefer to use a different email address, please contact us and we’ll connect your new account to your travel history.</li></ul></li><li>If you see your upcoming trips, but not your past trips, please contact us so we can get everything linked up.</li></ul>

What is My B&R?

Your Pre-Trip Checklist helps ensure we have all the details needed for your upcoming trip. You can update it at any time before departure, but we ask that you complete it as early as possible.<ol><li>Access your My B&amp;R account using the Sign In icon at the top right corner of any Butterfield &amp; Robinson webpage, or access it directly from an email.</li><li>Under My Trips, select your upcoming trip to review the required items under Pre-Trip Checklist on the left-hand side.&nbsp;<ul><li>A red exclamation mark indicates sections that still need to be completed.</li></ul></li><li>Complete each section – your progress will save automatically as you go.<ul><li>If you haven’t booked your travel arrangements yet, you may leave the Arrival &amp; Departure section blank and update it once confirmed.</li></ul></li></ol>The B&amp;R team will be following up with you at various intervals prior to your trip asking you to log into My B&amp;R to provide us with the details still required by our Operations team.

How do I complete my Pre-Trip Checklist?

<ul><li>Each guest over the age of 18 must create their own My B&amp;R account and complete their own checklist.</li><li>For any guests under the age of 18, select the Children on Trip tab under the Pre-Trip Checklist.<ul><li>If you don't see this section, or if you notice any guests that are missing, please contact us.</li></ul></li></ul>

How do I complete the Pre-Trip Checklist for my guests?

How do I access my invoice?

If you do not see this section, please contact us.</li></ul></li><li>Agree to the Terms &amp; Conditions before proceeding.</li><li>Select your Payment Method (credit card, wire or cheque).</li><li>Under Authorize Payment, select Yes.</li></ol>Once authorized, your Travel Coordinator will process your final payment on the due date listed on your invoice.&nbsp;If you’d like to pay in advance or have any special requests regarding your payment, please contact your Travel Coordinator.

How do I make final payment for my trip?

We require all travellers to sign and date a Waiver prior to each trip, and we’re unable to welcome you on trips until this has been completed. One signed Waiver is required for each B&amp;R trip that you take.<ol><li>Access your My B&amp;R account via the Sign In icon at the top right corner of any Butterfield &amp; Robinson webpage, or directly from an email link.</li><li>Under My Trips, select the upcoming trip for which you’d like to sign your waiver.</li><li>Select the Waiver tab under the Pre-Trip Checklist.&nbsp;</li><li>Sign and date the waiver, then select Complete.</li><li>Wait for the confirmation message: “Document verified and saved successfully”.</li><li>You’ll receive a copy of the signed waiver in your inbox.</li></ol>If you require any assistance with signing the waiver, please contact your Travel Coordinator.

How do I sign my trip waiver?

<ol><li>Access your My B&amp;R account via the Sign In icon at the top right corner of any Butterfield &amp; Robinson webpage, or directly from an email link.</li><li>Under My Trips, select the upcoming trip for which you’d like to purchase insurance.</li><li>Select the Travel Protection tab under the Pre-Trip Checklist.&nbsp;</li><li>Select Generate My Insurance Quote.</li><li>Follow the prompts to fill out any required information.</li><li>Enter your credit card details to purchase. Payment will be processed directly with Cavalry.</li></ol>Note that if you choose to decline Cavalry insurance, we ask that you provide the details of the coverage you have arranged for this trip - this information is valuable for our guide and operations team in case of any emergencies on trip.

Butterfield &amp; Robinson strongly recommends some form of trip cancellation protection and a travel medical insurance plan. In addition to travel and medical assistance, travel insurance safeguards your investment by covering potential cancellations or having to cut your trip short for covered reasons.&nbsp;Cavalry Elite Travel Insurance combines exceptional evacuation services with premier travel insurance coverage into a single integrated program designed for B&amp;R travellers.&nbsp;&nbsp;It’s a small investment for added peace of mind – in the event you need to cancel your trip, cancellation fees will apply as per our <a href="https://www.butterfield.com/terms-and-conditions">Terms &amp; Conditions</a>.&nbsp;

For greater peace of mind, Butterfield &amp; Robinson offers an optional upgrade to the standard Cavalry Elite Travel Protection policy.&nbsp;&nbsp;Cancel For Any Reason coverage will reimburse you for up to 75% of the non-refundable trip costs, for reasons not otherwise covered under the standard plan, provided the following conditions are met:&nbsp;<ul><li>You purchase the coverage within 15 days of the date the first trip deposit is paid&nbsp;</li><li>You cancel your trip no later than 48 hours prior to the scheduled trip departure date&nbsp;</li></ul>Cancel For Any Reason is a top up option to the Cavalry comprehensive travel insurance policy. Should you have to cancel for a covered reason, you are eligible for the full coverages as outlined in the schedule of benefits.&nbsp;

Cancel for any reason (CFAR)

The plan provides coverage for your Butterfield &amp; Robinson trip only. However, airfare, pre- and post-trip travel arrangements not booked by Butterfield &amp; Robinson can be added on to the policy.&nbsp;

Can I insure additional travel costs not included in the Butterfield & Robinson trip? 

Pre-existing Medical Condition Exclusions would likely be applicable to a condition of a traveller, travelling companion or family member who was first diagnosed, had a change in diagnosis or required a change in medication during the 90 day look back period immediately preceding and including the effective date of coverage. To include a Pre-existing Medical Condition Exclusion Waiver, you must purchase your plan within 15 days of your final trip payment.&nbsp;

What do I need to know about pre-existing medical conditions, and how can I ensure I’m covered for them?

What is the cost of the insurance? 

No, Cavalry Travel Protection allows you to insure your trip as you pay your trip deposits. If you&nbsp;choose, you can insure your initial trip deposit, and then insure your additional trip payments as they are made.&nbsp;

Do I have to insure my entire trip when I make my initial trip deposit?

You may cancel your policy for a full refund within 10 days of purchase, as long as you have not departed for the trip, and no claim has been filed.&nbsp;

What if I change my mind after purchasing insurance? 

Yes, you may still purchase Cavalry Travel Protection at any time, however, you are not eligible for the optional CFAR upgrade (this must be purchased within 15 days of your first deposit).
